# Best practices and pro tips

> Learn expert techniques to maximize efficiency, avoid common mistakes, and get the most out of the CCEW app

Go beyond the basics and learn how to get the most out of the CCEW app with these proven best practices and pro tips.

## General workflow

### Complete forms on site

Fill out the CCEW form while you're still on site. This reduces the chance of forgetting crucial details and saves you from having to make a return trip.

<Tip>
  Use the mobile-optimised form interface to complete certificates directly on your phone or tablet.
</Tip>

### Validate before downloading

Always use the "Validate Form" button before downloading. This will run validation across the entire form and highlight any invalid fields, and clear out errors on completed fields. It's a quick way to catch missing required fields and other simple errors.

<Warning>
  Don't skip validation - it only takes a few seconds and can save you from issuing incorrect certificates.
</Warning>

### Review before sending

Use the "Review Form" modal to give everything a final once-over. It's much easier to spot a mistake in the summary view than by scrolling through the entire form preview or download.

<Check>
  The review modal shows all your data in a clean, organised format for easy verification.

## Profile management strategies

### Create role-specific profiles

If you work in different capacities (installer vs tester), save separate profiles for each role. This prevents confusion and ensures accuracy.

<Info>
  You can save one installer profile and one tester profile per account.
</Info>

### Keep profiles current

Whenever your licence is renewed or your contact details change, update and re-save your profile. This ensures all future CCEWs are accurate.

<Tip>
  Set calendar reminders to review and update your profiles quarterly and after licence renewals.
</Tip>

### Use profile loading strategically

<Steps>
  <Step title="Load appropriate profile">
    Choose the correct profile for your role on the current job (installer vs tester).
  </Step>

  <Step title="Verify loaded data">
    Always review auto-filled information to ensure it's current and appropriate for the specific job.
  </Step>

  <Step title="Update as needed">
    Make any necessary adjustments for the current job without affecting your saved profile.
  </Step>

  <Step title="Save updates (if permanent)">
    If changes are permanent (like new address or renewed licence), update and re-save your profile.
  </Step>
</Steps>

## Compliance and record-keeping

### Create a system for PDFs

Don't just dump your downloaded PDFs into a random folder. Create a clear folder structure (e.g., by year, then by month, then by client) to make it easy to find a specific CCEW later.

<Tip>
  Use consistent naming conventions like "CCEW\_ClientName\_Date\_SerialNumber.pdf"
</Tip>

### Backup your records

Regularly back up your CCEW PDFs to a separate location (e.g., a cloud storage service). These are legal documents, and you're required to keep them for several years.

<Warning>
  CCEW certificates are legal documents that must be retained for compliance purposes. Don't rely on a single storage location.
